DATA PROTECTION & PRIVACY
The kulabo Privacy Policy applies to any information acquired by and/or provided to kulabo including but not limited to: information provided through use of the website; information provided during the course of orders, transactions and bookings; information provided as part of a competition, contact information you have submitted to the event app, information provided through enquiries or by the completion of any request and or invitation for information. kulabo may gather information about you when you use our website.
kulabo recognises that your privacy is important to you. The information you submit to kulabo, and at our events will be kept confidential and secure once received. The information will be processed by kulabo or on its behalf under conditions in accordance with the provisions of the EU General Data Protection Regulation (EU GDPR) and Japanese Privacy Laws.
By registering for this event and disclosing personal information to kulabo, you consent to the collection, storage, and processing of information in the manner described in this policy. Please note that your continued use of the Event websites and/or products and services constitute your agreement to any changes to this policy and the website terms and conditions of use.
kulabo will only disclose this information under one of the following circumstances:
1. where your consent has been obtained;
2. to fulfil our obligation for which you obtained your ticket;
3. where there is a legal obligation;
4. where there is a public duty; or
5. in connection with the assignment or transfer of all or any of its rights and obligations to any of its group companies or to any other third party.
What will we collect and how will we use it?
kulabo will process the information you have provided to us about yourself. The information that kulabo collects is limited to that which you have provided on the order and/ or application form. This includes information is shared with kulabo by the third-party ticketing supplier, Peatix.
The personal information that you provide will be processed securely for the purposes of administering the event, venue capacity, ticket revenue (if applicable) and to deal with any questions or complaints arising in relation to the event and to contact ticket holders in the event of any change to the event.
How long will we retain your information?
In order to collect feedback about this event, and to satisfy our legal requirement to have records related to income and activity we will retain your personal information for up to 8 years from the date of the last submission from you – or as required by law.
Using Peatix
Please be aware that when booking a ticket for this event your personal data will be processed by the Peatix platform, which is a platform external to kulabo. Peatix is a separate ‘controller’ of your personal information which means that they are responsible for the collection and use of your personal information.
When your name and email address is transferred to kulabo, kulabo is a separate controller of that information and is responsible for the processing of the information that it receives.

Sharing your information
We will not share the personal information you have provided to us outside kulabo, except where you have given explicit consent, or as required by the law. We may share your name, title, twitter ID and company information only with other Event conference participants specifically for networking purposes. Should you prefer that we do not share this information please email info@tokyosandbox.com to opt out of this networking service.
Our lawful basis
kulabo has a legitimate interest to process your personal information to ensure that we can effectively administer our event and fulfil our obligation to deliver the event to you. We have carefully considered the impact on you, and we will not use your personal information where the impact overrides our interests.
Your rights and more information
If you have any questions about how kulabo handles your personal information, or you wish to find out about your rights, please contact us at info@tokyosandbox.com. Where there is inconsistency between those documents and this notice, this notice shall prevail.
Please note that partner events running as part of kulabo events will follow their own data protection policy, not those of kulabo.
REFUSAL OF ENTRY
Kulabo, at its sole discretion, reserves the right to refuse entry, cancel tickets, or eject from the premises, any delegate that satisfies any one of the following conditions:
· They are without the correct ticket or do not hold a valid pass
· They are endangering the safety of other delegates or event staff
· They are engaged to work for, or are acting on behalf of a competitor
· They are circulating literature, assets, digital files or paraphernalia without kulabo’s consent prior to the event
· They have been given forewarning that they are not to attend, or have been previously banned from entry
· They conduct themselves in an offensive manner or offend other delegates through their actions. e.g. drunk and disorderly.
Where refusal or rejection has been necessary kulabo will not be liable for full or partial refunds of the ticket cost and under no circumstances will kulabo be held liable for any consequential loss.
KULABO BUSINESS NETWORK
By agreeing to these terms and conditions you are agreeing to being contacted via email with relevant offers and business opportunities as part of kulabo Business Network. kulabo will not share your contact details with any third party without your consent. You may unsubscribe from these emails at any time.
CONSENTING TO THIRD PARTY CONTACT
From time to time, third party companies or organizations may work with us and ask to contact you directly by email, post or telephone for the purposes of sending you news, information and/or offers. Where this is the case, we will ask for your explicit consent within the order form process.
When you grant consent, we will pass on your contact details using a secure method of transfer and always treating it as confidential. They may contact you using the method outlined at the time of consent. If you wish to unsubscribe from this contact at a later date, please refer to the privacy policy or unsubscribe instructions provided by the third-party organization.
kulabo is not responsible for the communications that come from these third parties.

EVENTS RELATED COMPETITIONS
Entry and qualification to enter related competitions are strictly at the discretion of the promoters kulabo.
Winners will be drawn and the winners will be informed at the time of the published deadline.
The prize will be defined at the time, is provided on an as-is basis, and cannot be exchanged for the cash equivalent or for an alternative at the sole discretion of the promoter.
In the event of unforeseen circumstances kulabo reserves the right to substitute any of the prizes for an alternative of equal or greater value.
By entering kulabo competitions, and providing your contact details, you give kulabo permission to email you with offers, information, news and event invitations that we feel may be of interest to you. You can unsubscribe from these emails at any time and we will remove you from further emailings.
kulabo do not share contact details with any third party for marketing unless we have your express permission.
INDEMNIFICATION
You agree that the Company, and any parents, subsidiaries, officers, employees or third-party contractors cannot be held responsible for any third-party claim, demand or damages, including reasonable attorneys’ fees, arising out of your use of this Website.
UPDATES TO THE PRIVACY POLICY
kulabo may update the Privacy Policy at any time. If there are any important updates we will post notifications on the kulabo website.
